A LETTER FROM THE PRESIDENT

Hello neighbors,

The board has prepared the 2021 budget and an election ballot for our Annual Meeting on Wednesday, October 14. We are tentatively planning to hold the meeting live at the Bay Hills golf course clubhouse starting at 8 PM. That is subject to change.
Look for the ballot in the mail and by email before the end of the month.

In next year's budget there are no changes in annual dues. We’ve done a very good job catching up on our reserves and think we’re in much better shape financially moving forward. We also are going to hold elections for board members which has not happened in the last two years. We are trying to get that on track and be compliant with the bylaws.

Speaking of the bylaws there’s some dispute over which version is the official one we should use to govern. For the last 23 years I have been on the board we have been using the same set that I believed to be valid. I am not convinced yet that the older version that someone has brought to our attention is in fact the legal version. I have not seen it yet but some of the measures we have been told it contains would be a step backward for the community. We want to make sure we are compliant with all legal requirements. Once the Board has more information from our counsel and has voted on how to proceed we will let everyone know. Any changes would likely take effect on our next fiscal year 2022.

A couple housekeeping items for community members. We are likely to change the codes at the basketball and tennis courts sometime in the coming weeks. Everyone who is registered on the website will receive the new code. Again we ask that you keep this to yourself and not share this with anyone other than your family. We’ve just gone through a major cut back of oak trees at the pavilion property. We had to take down seven large trees that were dying or threatening neighboring lot.
We are also looking for Volunteers who would help sand and refinish the tables at the pavilion. The board will cover the cost of supplies.

I hope everybody has a happy and safe Labor Day weekend. And I hope to see all of you sometime soon possibly at the annual meeting.

Treasurers Report Ending August 31, 2020

The attached spreadsheet provides the account balances, income and expenditures for the month of August as well as year to date. We are currently at 66.67% (8 months out of 12) of the way through the year, so you can compare where we are in any category against that figure.

However, keep in mind there are several categories that don’t typically see any expenditures until later in the year (i.e., Annual Mtg. Cost and Ballots, Accounting Services, County Taxes, and Tax Returns).

With regard to income, we are very much on track, despite COVID-19. We have collected 101.47% of our budgeted 2020 HOA Dues. Remember however, we set the dues collection at 87% of total owed, based on prior history. We have not however collected any late fees, as budgeted. We did however, collect $170.86 in prior year’s dues last month. The board voted to suspend late fees for the time being, due to the economic hardships many may be feeling as a result of the pandemic. So, we are overall currently at 97.96% of expected revenue.

There are currently 93 households in arrears on 2020 dues. Of those 51 are also in arrears for prior years dues and fees. The highest amount in arrears, over and above just the 2020 amount, is $1,045.00 and the lowest is $206.76. There are an additional 20 households that owe and amount less than $150, ranging from $135.00 to $15.00. All total the amount outstanding for 2020 and all prior years is now $26,069.26.
