A LETTER FROM THE PRESIDENT

Hello Neighbors,

We are going to reopen the basketball courts as soon as possible, but we are very frustrated and need your help.  For years community members have not utilized the courts because of concerns with trespassers and illegal activities there. We’ve been able to add new fences that are much higher and secure lock gates to address that situation. And yet in just a couple of weeks of being open we had dozens of kids trespassing and vandalism down there.

If you’re not signed up yet on the community website to get the gate code please do. We are going to change the code and send it out to everyone that is registered (CLICK HERE TO SIGN UP). We ask that you please do not share the code with anyone other than your family. Also please do not prop open the gates with rocks or hold the gates open for someone who may not have the code. Please help us keep the rebuilt basketball courts a fun and safe facility for your fellow community members.

We have continued to have issues with vandalism at the pavilion playground site. The police have been notified and will make extra runs in the evening hours. If you see any suspicious activity there please report it to 911. Every time an incident is recorded it gives us more voice when asking for additional patrols.

To date 106 of 604 residences have not paid dues. We have held off on sending late notices because of concerns with the COVID 19 effects on the economy. If you have specific issues please contact us and we can work something out. Our property management company Procom will send out late notices in August.

I think most of you have noticed by now that we had food trucks in the pool parking lot regularly the last few weeks. It’s been a big hit so far. Please look at the schedule and menus for upcoming days when the food trucks will be there.

We will be skipping the the July BCHA board meeting. Our next board meeting will be Tuesday, August 4 at 7:30 PM. If rules for meetings change will try to have a live one instead of virtual. VOLLEYBALL COURT SURVEY

Bay Hills We Need Your Help!

We’d like you to take a survey about what we should do with the Volleyball Court at the Pavilion. The issue now at the court is that the original liner below the sand was held down with metal clips. Those metal clips are rusting and decaying and are now sharp objects in the sand that make the court dangerous. We also have an issue with the retaining wall above the Pavilion that needs to be repaired. We would like your feedback on what to do with the courts. PLEASE CLICK HERE TO TAKE THE SURVEY!

Treasurers Report Ending May 31, 2020

The attached spreadsheet provides the account balances, income and expenditures for the month of May as well as year to date. We are currently 41.67% (5 months out of 12) of the way through the year, so you can compare where we are in any category against that figure. However, keep in mind there are several categories that don’t typically see any expenditures until later in the year (i.e., Annual Mtg. Cost and Ballots, Accounting Services, P.O. Box, County Taxes, and Tax Returns).

In addition, we did not pay for 2019 Luminary expenses until 2020, but I expect we will see the 2020 expense late this year.

With regard to income, we are very much on track, despite COVID-19. We have collected 99.64% of our budgeted 2020 HOA Dues. Remember however, we set the dues collection at an 87% of total owed, based on prior history. We have not however collected any late fees, as budgeted, nor have we collected any prior year’s dues to date. The board voted to suspend late fees for the time being, due to the economic hardships many may be feeling as a result of the pandemic. So, we are overall currently at 95.66% of expected revenue.

There are currently 109 households in arrears on 2020 dues. Of those 53 are also in arrears for prior years dues and fees. The highest amount in arrears, over and above just the 2020 amount, is $1,045.00 and the lowest is $206.76. There are an additional 18 households that owe and amount less than $150, ranging from $140.00 to $15.00.

All total the amount outstanding for 2020 and all prior years is $29159.26.

Also, you will see and expenditure for fence repair at the tennis courts. During one of the storms that came through the area, a tree came down across the fence. As a result, part of the fence had to be replaced. Some of this expense, the cost minus deductible, should be covered by our HOA insurance policy. There also should be an additional outlay (hopefully covered) to repair the net post for one of the courts that was also damaged.
