Bay Hills Community Association, Inc. Minutes of Board Meeting- November 5, 2019 The November Board meeting was held on November 5, 2019 at the Shore Acres Clubhouse in Arnold. The meeting was called to order at 7:37 p.m. by President Dave Eckels. The following members attended: Amanda Rambo, Dave Eckels, Ryan Bauer, Bob Ray and Steve Sheesley. The following person attended the meeting as guest: Oliver Perry Welcome & Approval of Meeting Minutes/Treasurer’s Report: · October 2019 meeting minutes approved Social: · Amanda Rambo discussed the upcoming Holiday Party. There is not much interest so sending out a Community Poll to see if we can get at least 75 people interested in attending; otherwise have to cancel party. · Discussed the necessity of getting as many email addresses as possible so people can get the info on parties and other events. · Discussed possibility of having a crab feast at the golf clubhouse next summer, especially if not having holiday party. · Amanda discussed setting up Sign-up Genius for 2020 social events; to encourage new faces and to get more community participation. · As always, suggestions and participation at events are welcome. Treasurer: · Bob Ray discussed HOA dues. Also discussed the need to find someone to perform an audit. Discussed how far back we should go for this audit. It’s more of a “reconciliation of the books” than an actual audit. Could be performed in December. · Budget approved. · Discussed new management companies. Unhappy with Bay West. Still searching. Happy with ProComm so far. Communications: · Annie Kersey was not in attendance. · Website looking great; email notices are helpful but NEED MORE EMAIL ADDRESSES. Property & Grounds: · Landscaping at new basketball court area on hold until project is complete. · Several residents have complained that the fencing is too close to the white inbound lines on new basketball courts. Dave to contact County project manager to discuss. Cannot properly or safely play the way it is now. Old Business: · The Bluffs would like us to split the cost of mulching their recreation area. Total is $2,525. · Decided to put the gaga ball project on hold until we fix our insurance coverage. Bob Ray looking into this. · Pavillion has been fixed. · NEED TO UPDATE OUR COVENANTS. New Business: · Got word from residents of the Bluffs that there was a car stolen and another one broken into. We need to remind people to LOCK THEIR CARS and to REPORT ANY AND ALL SUSPICIOUS ACTIVITY TO THE POLICE. CALL 911. Adjournment: There being no further business, the meeting was adjourned at 8:35 p.m. The next meeting will be held Tuesday, December 10, 2019 at the Shore Acres Clubhouse, 7:30 pm. .
