A LETTER FROM THE PRESIDENT

Hello neighbors,

We are now into our second month of a new decade. As we move into the new year and decade, your BHCA Board is making some changes that we hope will improve both our accountability and the overall viability of our community.

The biggest change is probably our move way from our long-time management company, BayWest, to ProCom. By now you should have received your 2020 dues assessment via ProCom, so rest assured this is a legitimate invoice. The results of the voting for the 2020 budget were overwhelmingly to increase dues to $150 per year. We trust the move to ProCom will make it easier on both our residents and the Board. You will now be able to set up automatic payments online. In addition, we believe we will see better tracking and accountability of payments and expenses.

We hope to plan for improvements to the community as well as to continue to take care of the amenities we already enjoy. We have established some surveillance at the playground near the pool, in hopes of deterring any future vandalism. In addition, we have re established the off- duty police patrols in the neighborhood. If there are any areas of particular concern, please let us know so that we can pass them onto the patrol officers. As previously noted, they will be heavily focusing on speed limit, stop sign, and hand-held device violations. In the interest of our neighbors, and particularly the children, please exhibit caution when driving through the neighborhood.

We will also be moving our monthly meetings to the Bay Hills Golf Club. The golf course management has graciously agreed to give us access to hold our meetings; however, this means a change from the traditional 1st Tuesday of the month meetings. The golf club has league play on Tuesdays from April through October, so our options were Mondays or Fridays.

We encourage community members to attend the meetings, and as such, thought Mondays provide the best opportunity to do so. Our next meeting will be held on Monday, February 10 th . The following meeting will be on March 9 th . The meetings start at 7:30pm and we strive to wrap-up by 8:30, although that doesn’t always work out.

Minutes of Board Meeting- January 7, 2020

The January Board meeting was held on January 7, 2020 at the Shore Acres Clubhouse in Arnold. The meeting was called to order at 7:37 p.m. by President Dave Eckels. The following members attended: Dave Eckels, Amanda Rambo, Ryan Bauer, Bob Ray, Steve Sheesley, Jeff Burkhardt, Ed Dawson and Oliver Perry. The following people attended the meeting as guests: Doug Butschky and Don VanHassent.

Welcome & Approval of Meeting Minutes/Treasurer’s Report:

 December 2019 meeting minutes approved.

Social:

 There are no social events this month.

 Board welcomed our new Social Chair, Doug Butschky. Doug will meet with Amanda Rambo to discuss the transition into this role.

 As always, suggestions and participation at events are welcome.

Treasurer:

 Budget approved.

 Bob Ray discussed our switch from Bay West to Pro Comm as our management company.

 Taxes need to be done.

 Rejoined the Arnold Preservation Council.

 Discussed possibly switching banks as getting low rates at BB&T. Bob will look into a couple other local banks.

 As of this month residents are able to pay their dues electronically through ProComm! Details to follow.

 Discussed our coverage options for community insurance; possibly using Nationwide.

Communications:

 Annie Kersey was not in attendance.

 Website looking great; email notices are helpful but NEED MORE EMAIL ADDRESSES.

Property & Grounds:

 Board welcomed new Property and Grounds chair Don VanHassent.

 Landscaping at new basketball court area on hold until project is complete.

 Discussed mounting cameras by tennis courts, playground and possibly basketball courts. Tired of vandalism and property destruction at Pavilion area. Several residents don’t feel safe sending their kids to basketball courts due to suspected drug and alcohol use.

 Discussed installing signs by basketball courts that read “This property is only for use by Bay Hills Residents and their Guests”. This will be similar to signage by tennis courts and pavilion.

 New combination locking system to be installed at both tennis and basketball courts, once repairs are complete.

Old business:

 Want to reach out to find a representative from both the Bluffs and Pine Valley who can attend our monthly board meetings. They are both part of Bay Hills yet are not included in the luminary program. We are putting in the budget for next year.

 Pavilion has been fixed.

 NEED TO UPDATE OUR COVENANTS.

New business:

 Jeff Burkhardt welcomed back to the board as Long Term Planning Chair.
