A LETTER FROM THE PRESIDENT

Hello Neighbors,

Let me start by saying the community finances are in very solid shape in spite of the very large delay in receiving dues. We believe most of this was due to the delays with the Post Office deliveries earlier this year. We have gone from 266 households late at the end of March down to 66 still late at the end of May for 2021. That is about 11% still past due. We will continue to waive the late fee for at least another month then evaluate.

There will be repaving work done this month. First the apartments will be refinishing their parking lots this month. During that time the residents will have to park on Bay Green Drive overnight. It will be temporary but please be extra cautious with the high volumes of walkers and joggers we have. Anne Arundel county also sent us notice that they will be repaving Golf Circle at some point this summer. They will notify residents of that area when the work will be done.

That's all for now. We do not hold a July Board meeting, But we will be back in August with news about the 2022 budget (no dues increase expected) and approval of updated By laws in the annual election.

Treasurers Report Ending May 31, 2021

The attached spreadsheet provides the account balances, income and expenditures for the month of May as well as year to date. We are currently at 41.66% (5 months out of 12) of the way through the year, so you can compare where we are in any category against that figure.

All in all, I believe we are financially stable. However, there seems to be a major issue with residents’ payments not getting processed. I have heard from several residents and most of them mailed their payment on February 24th . So, I am thinking something happened to the mail that day. These are all residents who have always paid, and some are even Board members.

There are currently 67 households in arrears on 2021 dues. There are an additional 45 households also in arrears for multiple prior years dues and fees. The highest amount in arrears, over and above just the 2021 amount, is $1,045.00 and the lowest is $170.00. There are an additional 12 households that owe an amount less than $150, ranging from $135.00 to $10.00. I expect these are errors and will try and get them resolved.

All total the amount outstanding for 2021 and all prior years is now $30,697.50. Again, I believe many of the outstanding 2021 dues are postal errors. The Board is willing to waive any late fees for anyone caught in this situation.

Called to order at 7:35 only 4 board members, 7:59 received a quorum w/ Bob joining
Minutes of Last Meeting -approval

Board members in agreement to meetings being held the second week of each month. This will help with budget requirements, as well as board member schedule conflicts. Message of this change needs to be sent out to the community. Add to the By-Laws as well.

Can’t approve with only 4 board members. Do an email vote for the budget number for both April and May. Late fees to start up on June 1st. Gave community members two extra months to get paid.

People who sent checks in on 2/24 they were never received. Late fees will not be assessed to those who sent checks and were not cashed.

Traffic

Capital Improvements/Long Range Planning

- Suggested creating a pickle ball court using ¾ of the volleyball court area
- Tape will start ruining the tennis courts
Try to put a garden or plots behind the basketball court. Put a fence up. Install a pump to pump water from the creek. Doing more research on this.
Forest area behind the tennis courts and put exercise stations along the path.

Property & Grounds.

Working on Fall Planting - no dates yet but likely to be Oct.
dead tree at pavillion - not great looking but not dead according to Jeff. Two trees in question.
- The one by the pool needs to come down ASAP.
- Been using Richards tree care and Genesis Tree Care - splitting between to two
- Using Genesis this time around.

Recreation

Basketball court & tennis courts needs for 2021
- Tennis courts will need to be replaced in the next year.
Back court you get locked in. Ed to order part this week. Update on this?
Bubble ordered
Tennis team for kids will be Tuesday from 5-7, Becky Gondack is running the league.
- Kathy is running the clinic and wants to come 4-5 and prepped for the league.
- Board approved her coming early to set up for Bay Hills league.
- Block it from 4-7 on the schedule.
